2. What Data We Collect

Form submissions

When you contact us, register interest, or submit a candidate profile, we may collect:

• Name, email address, and phone number
• Company name and job title
• Role requirements and hiring context (for client enquiries)
• CV or LinkedIn profile URL, skills, experience, availability, and salary expectations (for candidates)

Automatic data

When you visit our website, we automatically receive technical data including:

• IP address, browser type, and operating system
• Pages visited, time on page, and referrer URL

Third-party sources

In the ordinary course of recruitment, we may collect publicly available professional data from LinkedIn and job boards. We only collect data directly relevant to matching candidates with specific roles.

Legitimate interest

B2B prospecting, identifying organisations that may benefit from our services, and matching candidate profiles to relevant opportunities — where our interests are not overridden by your fundamental rights and freedoms.

Contract performance

Delivering staffing and project services requires processing personal data to fulfil our obligations to clients and candidates under service agreements.

Consent

Where you have opted in, we may send email communications about relevant roles, services, or company updates. You may withdraw consent at any time by emailing info@systembender.com.

4. Who We Share It With

Formspree

We use Formspree to process form submissions on our behalf. Formspree acts as a data processor and handles data in accordance with their privacy policy and GDPR commitments.

Clients

Candidate data (name, CV, professional background) is only shared with a specific client organisation when the role has been clearly identified and the candidate has given explicit consent for their profile to be submitted for that role.

No sale of data

We do not sell, rent, or trade personal data to any third party. Ever. Your information is used solely for the purposes described in this policy.

5. How Long We Keep It

• Enquiries and contact form submissions: 2 years from the date of submission
• Candidate profiles: 3 years from the date of collection, or until you request deletion
• Financial records: 7 years (the legal minimum under applicable accounting regulations)

When data reaches the end of its retention period, it is securely deleted. You may request earlier deletion at any time — see Your Rights below.

6. Your Rights

Depending on where you are located, you have the following rights regarding your personal data:
